An Imaging Market Success Story
With six locations throughout North Central Indiana, First Federal Savings Bank implemented the Canon DR-3080C scanner and inCHECK Document Solution Software to change a complex paper- and labor-intensive process into an effective and fast electronic solution. For a company that is proud of its personalized customer service, the imaging solution has enhanced the ability of First Federal Savings Bank to be responsive to customer needs.

Assessing the Situation
Mortgage lending is the principal activity for First Federal Savings Bank and they currently service over $1.4 billion in loans. On a daily basis each branch averages 800-900 checks, all of which must be recorded for the search and retrieval of historical data and check information. It is common for bank customers to request check data be provided for any of a number of reasons.

Prior to the introduction of the Canon DR-3080C scanner and inCHECK software, mortgage checks and deposit documents were microfilmed daily. This process took several days, and as a result microfilming provided no way to do real-time spot checks on quality nor was there any mechanism to complete a quick search of documents that were in the microfilm process. The older microfilm technology also demanded higher maintenance costs and consumable expenses. In addition, a certain amount of waste was involved when films came back of poor quality and checks had to be re-run.

"Check research and retrieval is much improved with our new system,” reports Ann Bozzo, Senior Vice President of Operations at First Federal Savings Bank. “We can find and retrieve any check we’ve scanned, quickly and accurately."

Business Challenges and Needs
Increased check volume, the need for faster turnaround, the need for a search capability, and consistent accuracy soon exceeded the microfilm capabilities, creating limitations on effectiveness, turnaround, productivity, and customer satisfaction at First Federal Savings Bank. What First Federal needed was an imaging solution that provided:

Impact and Value of the Solution
The new imaging solution provides for just-in-time, onsite scanning of checks and deposit documents using the networked DR-3080C scanners, with the images being saved electronically to the PC server. The inCheck software uses Optical Character Recognition (OCR) to read the check number and MICR encoding code; these two pieces of information are associated with the check image so no additional data entry is required. For retrieval purposes, a search can be conducted using the check number and MICR code.

Processing, storing, and retrieval of check data using the Canon DR-3080C scanners and inCHECK imaging solution has a much faster overall turnaround time than microfilming, which could take several days.

"The ease of use is one of the things about the imaging system that we all really like," says Bozzo. "We received excellent training and continue to receive outstanding support." Bozzo goes on to describe the improved process: "Our tellers are able to feed a group of checks into the feeder, leave the room, and check back later to process another batch. This ability to ‘leave the device alone’ really adds to our productivity."
